Recruitment privacy notice

This notice covers applications for staff roles submitted through satin.agency/careers. The controller is SIA Satin Agency. Contact privacy@satin.agency about your information. Notice version: recruitment-2026-10-17-v2.

What we collect and why

We collect your name, email, date of birth, country, time zone, availability, experience, English self-assessment, motivation and answers to role-specific exercises. You can provide public evidence links and work statistics. Please redact other people's information and never send passwords, identity documents, private creator content or customer records.

The connection check exchanges random test data with our website and records approximate download speed, upload speed and latency. It does not record your screen, microphone, browsing history or files. The typing exercise records the text you enter, its duration and any reported interruptions; we calculate typing speed and accuracy. For the 30-second exercise we also collect aggregate counts of paste/drop attempts, bulk or automated input, focus changes and key-timing summaries within the exercise. We do not monitor other fields or store a separate keystroke log. These signals help a human reviewer identify when a follow-up test or adjustment may be useful; they are not proof of cheating. If a test is unavailable, you can explain why and still apply.

We use this information to assess suitability, arrange follow-up and take the recruitment steps you request. Date of birth checks adult eligibility. Job exercises help authorised reviewers assess relevant skills; they are not an IQ diagnosis. A low typing result, missing connection test or lack of previous experience does not automatically reject you. Hiring decisions require human review. Staff may record application status and review notes.

We record the versions of the role terms and privacy notice you acknowledge. Limited submission records and security checks help prevent spam and duplicate applications. Applying does not create an employment agreement, guarantee a position or subscribe you to marketing. Any appointment and its final terms are confirmed separately.

Who can access your application

Only authorised SATIN recruitment reviewers can access application details. Having a chatter or creator account does not itself grant access. Cloudflare delivers the website and provides Turnstile security verification; Convex provides our backend and database. Turnstile processes browser and device signals under Cloudflare's privacy notice. See also Convex's privacy information.

Privacy messages sent to our contact address are forwarded through our existing email service to the agency's designated Gmail inbox. Providers may process information outside your country; contact us for information about the arrangements applicable to your application. Careers submissions do not automatically send emails or share applications with other agencies.

How long we keep your application

Application records, answers, assessment results and recruitment review notes are kept for 12 weeks (84 days) after the latest recruitment update, then erased by scheduled cleanup. A further review or follow-up moves that date. This applies to the application record in every status, including hired; any later staff agreement or onboarding record has its own retention terms.

Cleanup runs regularly in bounded batches, so erasure may finish shortly after the retention deadline. Provider backups, security records and correspondence in email inboxes are managed separately; deleting an application does not instantly rewrite those records.

Your choices and rights

You can ask to access or correct your information, withdraw your application or request earlier deletion. You may also exercise applicable rights to restriction, objection and portability. Email privacy@satin.agency with enough information to locate your application. We may need to verify that the request is yours.

You can raise a concern with your local data protection authority, including Latvia's Data State Inspectorate. We will update this notice when recruitment data handling changes; the version acknowledged with each application is recorded.
